Once shared, the Partner(s) will handle your information in accordance with their own privacy policy and you will need to contact the Partner directly to opt out of their communications.

Legal or regulatory authorities: If required by law, such as in cases of fraud prevention or data breaches.

International transfers: If we transfer data internationally (including to Partners or service providers based overseas), we take reasonable steps to ensure it is only shared with trusted recipients and that appropriate protections are in place. 7. Data security measures

SHE-com implements security measures to protect personal information from unauthorised access, misuse, or disclosure. These include:

  • Encryption and secure cloud storage
  • Access controls and staff training on data protection
  • Monitoring for cyber threats and fraudulent activity

We comply with the Notifiable Data Breaches Scheme, meaning that if a serious data breach occurs that could harm you, we will notify you and the Office of the Australian Information Commissioner (OAIC) immediately.

8. Automated decision-making and AI

If we use automated processes, such as AI-driven recommendations or program eligibility assessments, we will:

  • Clearly inform users when decisions are automated
  • Offer the option to request a human review

9. Community privacy and online safety

Engaging in our private Facebook groups, coaching calls, or community events means agreeing to maintain confidentiality and respectful communication.

  • We have a strict no-doxxing policy, meaning unauthorised sharing of private information will result in immediate action, including removal from the community
  • Any breach of confidentiality or misuse of personal information will be taken seriously

10. Children’s privacy and age restrictions

SHE-com’s services are intended for adults. We do not knowingly collect data from individuals under 16 years of age. Social media platforms also impose restrictions on users under 16, and we comply with these laws.

11. AI Coaches and Chat Conversations

Our membership includes access to SHE-com AI coaches (“SHE-AI bots”) that you can chat with inside the Hub. So the coaches can actually be useful to you, here is how your conversations are handled:

What we collect. When you chat with an AI coach, we store the conversation, along with your name if you share it. Each member’s conversations are stored separately and are never visible to other members.

Why we keep it. We keep conversations for three reasons:

  1. Continuity. The coach can remember who you are and what you have discussed before, so you can pick up where you left off instead of starting from scratch each time.
  2. Improving the coaches. We review conversations to understand what members are asking and where the coaches can answer better. When a coach’s knowledge is updated from this process, the updates are general lessons only. They never include your name, your business details, or anything that could identify you.
  3. Support and quality. The SHE-com team may review conversations to resolve a problem you have reported, check answer quality, and keep the coaches safe and accurate.

Who else processes it. Our AI coaches are powered by Anthropic’s Claude models. Your messages are processed by Anthropic to generate responses, under their commercial data protections; they are not used to train Anthropic’s models. We do not sell your conversations or share them with anyone else.

Your choices. Please avoid sharing sensitive personal information (like health, financial account or identity details) in chats — the coaches don’t need it to help you. You can ask us to delete your conversation history at any time by emailing members@shecom.co, and we’ll take care of it.

12. Updates to the policy

We review and update this Privacy Policy periodically to reflect changes in Australian privacy laws. Any significant updates will be communicated via email and posted on our website.
